Application for Entry System
District Officers Processing of Applications

The revised entry system introduced by ILCA in 2008 will improve and simplify the entry system for both District Officers and sailors alike. As the District Officer you will now be asked to review the applications made by sailors in your district and asked to rank them based on your district qualifications / ranking system.

Below are instructions on how to use the ranking system. You can click on the images in order to enlarge them; they will appear in a new window.

Login to the website

In order to be able to access your Districts applications you must first login to the ILCA Event website. Logging in allows the system to know who you are and ensures that only the correct officials can access and modify the applications for your District.

  1. In your web browser go to: http://events.laserinternational.org/en/district/applications. (It may be worth bookmarking this page so that in the future you are able to access this more easily.)
  2. The website should direct you to a login page asking you to identify yourself. Please complete the login form using the details sent to you via email by the ILCA Office on 8th March 2008 with a subject of "Login for ILCA Event Website".
  3. Once you have completed your login you will be directed to the list of available championships.

Select the Championship

  1. The available championships are listed in date order, with the championship that will start first listed at the top of the page.
  2. Scroll down to the championship you require. For this example we are using the 2008 World Laser 4.7 Youth Championship, however the process is the same for all championships so you could choose an alternative championship if this one is not available to you.
  3. To process applications for the championship click the link at the bottom of the box "Process Applications".
  4. If the championship is split into different criteria you may have to select which category (fleet) of the championship you are processing, for this example we will select the Male sailors.

The Application Processing Screen

The top of the Application Processing screen contains some very important information which you should review when you enter this area of the website.

The top area (marked in red) shows how many places are presently available to your District for entries to this championship. The next line shows the latest date by which your applications must be ranked. If you are running national qualification regattas that end after the ranking deadline date an agreement MUST be made with ILCA to allow you to rank your sailors later than the published date, if which case the date on this page should be ignored. The final information area highlighted in red is when ILCA will issue the allocated places to your sailors by email. The sailors will have three weeks from this date to complete entry including full payment.

Further down the page you will see a list of all sailors from your district that have completed entry. Remember that the championship may be split into multiple categories (fleets), e.g. Male/Female, so if you do not see a sailor who you would expect to see please check the other categories. To do this, you must return to the categories (fleets) list by clicking the "Applications for ..." link in the black bar directly below the ILCA logo near to top of the page.

Decline Applications

The first priority when reviewing applications should be to ensure that sailors sent to the championship from your District are competent to compete in the championship and the sailing conditions. The ILCA Notice of Race expects sailors to be able to sail proficiently in 25 knots of wind and waves.

If you feel the sailors in the application list are not capable you must decline their application. Sailors who's application is declined will be sent an email explaining that their application was declined.

  1. To decline an application press the "Decline Application" button next to the sailor's name. A message box will appear asking you to confirm whether you wish to decline this application. Be aware this is your last chance to stop the action. If you click 'OK' or 'Yes' the sailor will automatically be sent an email telling them their application has been declined. If you click 'No' or 'Cancel' you will be returned to the application page with no changes made.
  2. Once you press the 'OK' or 'Yes' button, the screen will be refreshed and you will now see the sailor listed in the "Declined Applications" area at the bottom of the screen.
  3. You should now continue to decline all applications from sailors who your District does not want to send to the championship.

Rank Sailors

Finally you should rank your sailors in order, from top to bottom. The sailor who your District most wants to go to the championship should be ranked number 1, the next sailor number 2 and so on.

  1. To rank a sailor, select the rank you wish to give him/her from the list box on the left hand side. If no rank has yet been given to a sailor the box will contain "Not set"
  2. Once you have selected a rank number the screen will refresh and you will see your sailor ranked appropriately. Be aware that if you select a number further down the ranking list than the last ranked place your sailor will be automatically ranked to the last place. This means if you have 10 applicants and so far have only ranked sailors 1,2 and 3 - the next sailor will be ranked 4th unless you rank him/her 3rd or higher.
  3. Please continue now to rank all sailors.
  4. If you want to change the rank of a sailor you can select the new rank from the list to the left and all other sailors ranks will be moved down to allow the changed rank sailor.
  5. You can return to this page at any point up to the deadline to rank new sailors or re-rank sailors.
